The Coffee OS · Subscriptions
Subscribers are charged on roast day. You roast, the money arrives.
A subscription on beanpartner is a standing order tied to your roast calendar, not to a date on the calendar.

How it works for the subscriber
They choose a coffee they already like, or a rotating lot that changes when your lots do. Then a bag size, and how often: every roast, every other roast, or monthly. Cadence is counted in your roast days, so nobody is charged on a day you are not roasting.
They can pause or skip a roast from their account without writing to you. When they sign up they get one confirmation email: the coffee, the bag size, the cadence and the date of their next roast day.
How it works for you
You mark a lot roasted in the admin. That is the moment subscribers on it are charged, so the money arrives for coffee that exists.
Every subscription due that day lands as one roast-day batch on one pick list. Bags come off the same lot count the shop and wholesale use, so the same bag is never sold twice.
What we run every week
Failed cards are retried on a schedule. If one still fails, the subscriber gets an email asking them to update it.
Anyone who cancels is offered a pause first. A cancellation is often a holiday, not a goodbye.
When an origin comes back, the people who bought it last time get an email saying so.
Every Monday, one line: active subscribers, churn and subscription revenue.

beanpartner does not pack or ship. The bags are yours, or our fulfilment partner’s.
Moving your subscribers over
We import them from Shopify, Squarespace or Recharge, or from a CSV if they live somewhere else. Cards move across wherever the payment processor allows it. Where it does not, each subscriber gets one email in your voice asking them to add their card again.
It happens during onboarding, before your first roast day on beanpartner.

Questions
What if a lot runs out before the batch?
The batch draws from the same lot count as the shop, so it cannot charge for bags you do not have. Subscribers on a lot that has run out are not charged for it; they are told, and can swap to another coffee.
Can subscribers pick a specific coffee?
Yes. They can subscribe to one coffee or to a rotating lot, and swap between them from their account.
What happens over holidays?
Subscribers can pause or skip on their own. If the roastery is closed, take those roast days off the calendar: no roast day, no charge.
Can wholesale accounts subscribe?
Wholesale accounts use standing orders on their own price list instead. That is on the wholesale page.
Do I see who’s about to churn?
You see churn every Monday. Failed cards are chased before a subscription lapses, and anyone cancelling is offered a pause. We do not claim to predict who will leave.
See your shop before you decide anything.
Paste your website. In two working days: your shop on our platform and a launch email for one of your coffees. Like it, we move you across. Don’t, nothing happens.
